Steps to Getting a Catering Proposal: Logistics and the Flavor Guide

What better examples to give than those that are real? My personal white glove approach with clients extends to making what could be a challenging task a little easier to handle. 

Such is the case with my Favorite Tapas couple. I am totally biased, I love tapas! When enjoying this style for dinner, versus its traditional pre-dinner appetizer light course - the journey is long: Sit, eat, drink, eat, repeat, repeat, repeat,... And of course the excellent conversation that extends into the long meal.

However at a wedding a meal that would take over an hour is simply not acceptable. UNLESS the meal is pre-planned and structured like an "activity" at the event. Dinner with dessert and the starter course needs to fall under an hour in most cases. 


"Serving multiple plates means multiple servers, per table, making many returns. That means more kitchen prep staff, servers, logistics, etc. That means more money for labor." 

A couple of service specifics for a Tapas menu:
- Review which types of tapas to serve
- Consider the dinner timing
- Advise on cost savings (in a tastefully presented way)
- Address tapas concerns (to be tackled in a later post).

First, the couple completed my "flavor guide" questions. Which restaurants do you frequent, and pull your top 3 apps, and entree from each.

Second, discussion on absolutes: absolutely NO preferences, some people Hate skirt steak, others cannot stomach greens beans, or heavy sauces, or fried food, or "fill in the blank ____". Tastes from person to person vary - and the couple MUST love whats served. MUST! 

Third, budget. Yes, I will always think about budget because everything (yes really everything) impacts budget. Do you want the best cuts of meat (filet mignon or t-bone) or will poultry or pork fit the bill? Shrimp or tilapia? Your talking $3-6 for shrimp versus $1-2 for anything other than shrimp. (Use my MIL trick: Say your allergic and it kills the "shrimp are a must" convo).

[Seasonal Menus Along these lines, in season veggies, sauces and ingredients help lower the price. Serving mango salsa in mid winter is a price variant going from summers $1 per piece to winters $3-4 per piece (and an up charge for already ripe). Same for asparagus and those fancy "cantaloupe melon Hors D'oeuvres on cream cheese canapés and chives," save it for summer! See the email below on using seasonal sauces, veggies, etc. ]

Lastly, plating. Serving multiple plates means multiple servers - per table - making many returns. That means more kitchen prep staff, servers, logistics, etc. That means more money for labor. Price increase ranging $1,000 and up (yes, increased labor by a thousand dollars). How to serve tapas AND not increase the labor expenses? For that tip, your have to read the email below under "Main Menu"....

Email to catering post initial phone call/proposal request. 

"Thank you ...  [Insert your cordiality]... Per the pricing we discussed (insert here) the following is the couples "flavor guide" for planning the menu.

As discussed our couple prefers a Spanish/Spain food theme, tapas style. Please use the ideas as a guide, however our Price Points as discussed are priority.

I asked the couple to pull together some starters and meals they like at their favorites tapas restaurants. This way we are on the same page with flavors. Those are listed at the end.

The couple is aware your final menu will be tailored to the couples likes, but not exact copies of dishes. Catering sauces, veggie choices, etc. will be seasonally based and feature caterers special touches.

Absolutes: 
No allergies. However we insist on grilled not fried and a "Fresh and light" fare.
Grilled not fried.
Not heavy meats. 
Poultry is welcome
Seasonal fish.

A variety of savory and sweet choices to be served.

Passed Hors D'oeuvres: Tapas Flavor starter bites:

A variety of items.
- bacon wrapped dates
- Tapenade on crostini (toast)
- Spains cheese/s and olives
- Soup shooters unless those are table served. Caters proposals.
(Manchengo, wine infused cheese, goats and sheeps milk variety, etc.)


Main Menu:
Instead of a large serving of 2 tapas, we are leaning toward mini entree service on a trio, followed by a duo plate. (The couple is opposed to buffet and family style). We realize individual portions will not be large, instead "filling up" in the 5 individual tapas size courses.


Seated Menu:
- Starter Soup Gazpacho or Seasonal Seafood Soup. Served as a shooter or cup.
- If a salad is needed (for timing). Or alternative single tapa service.
- Trio service on the final plate.

Dessert:
No Cake Service, No cake cutting. No cake gifts.
Couple has selected: 
Gelato Station and Expresso Bar
Vendor TBD.

Some Tapas Starter Ideas:
*Stuffed Olives with peppers
*Catalan bread or crostini with ripe tomatoes and goat cheese
*Artisanal Cheese Selection
*Spinach and manchego stuffed mushrooms
*Empanadas
*Bacon wrapped dates
*Cured sausages
*Meatballs and spicy sauce  

Main Meal ideas:
*Wood oven roasted veggies with pinenuts
*Beef Tenderloin and blue cheese
*Citrus cured salmon
*Grilled Octopus
*Spicy potatoes with a tomato aioli
*Skewered chicken and chorizo sausage
*Seafood or vegetable paella
*Gazpacho or Seafood soup
*Mussels

Costume Kits for Seussical Volunteers

There is a saying in my Event Management life: "show volunteers HOW its done, GIVE them the tools they need and Volunteers step up and Make It Happen." My event management experience bleeds over into my mom life...here it is. I volunteered to make costumes for my son's elementary school musical - Seussical the Musical. I found such a supportive helpful group of volunteers (to help me in my volunteering!)... these parents did not disappoint.

...Parents could pick up and drop off Kits in the office...

Provided in the Costume Kit:

1. cutout templates of the pieces volunteers would be assembling & material for cutting.

2. the instruction sheet was hand written with drawn figures. Some people are visual and others do better with written guidelines.

3. scrap felt for decorating.

4. tacky glue.

The Volunteer parents really stepped up!!! Over 35 people contributed to our costume success! Kits were made for ribbon rods (made from FREE paint stirrers), WHO everything (except the sewn shorts and skirts) suspenders, collars, headbands, ties, etc., the hunters reversible vest to fish and a separate kit to make the fins and tails, where the mom took extra effort to decorate them!

In all fairness, there are two important life experiences that gave me the talent and skill set to complete this project.

I have been on stage, backstage as crew and behind the scenes in theater performances all through High School and College. I LOVE the theater. My background helps me with the vision and special effects for costumes.


And as you know blog reader, I am a Consultant with my own company in Event Management, Joanne Klee JK Marketing and Event Management. My organizational skills and attention to detail are a big part of the business success. And fun!

I couldn't have tackled this project without the help of some pretty amazing parents involved in the school and show. I created volunteer kits. YES these kits are time consuming to assemble. And you have this classic event planning moment: "I'll just do it myself." Of course you CAN do it... but SHOULD YOU do it all?

NO, don't do it all. You will be exhausted, and frustrated! Pinspiration is tremendous! But realize each project takes time, from minutes to hours. Include the shopping time, cutting, assembling, and all the steps in between. So NO - Don't do it all yourself. My costume kits took hours, but they also saved me DAYS!

Inspirations for Seussical Costumes: Part II

More fun ideas for simple creative costumes!! Yes, it takes 1-2 night of googling ideas to find the right combinations of colors and costumes. But worth the search!

Grinchs hair and costume inspiration was simple and effective, the Wickershams were played by girls, and I loved the boyish charm of these costumes!

Sour Kangaroos actor came to me and said "my character needs to be sassy, and fun, and purple, and totally own it!" She put me on a mission to please her vision!!

I love the elegance of this Sour Kangaroo, her pouch and interesting ears.

I loved the EARS on this purple piece:


The WIckershams, ours are played by girls. But the Ears on these backwards caps really inspire. As do the clothes colors.

Up close Wickersham Ears Alternative:

 Of course the Grinch. And while he is not the Star of the Seussical, every audience member will recognize this character. I loved this hair. And the T-Shirt inspired by the actual movie.

Inspirations for Seussical Costumes: Part I

These are some inspirational and PINspirational photos for the final costumes. Hortons Elephant ears, the actual Dr. Seuss Gertrude (which reminded me that she blooms 1-feather tail strand and not 10. Deviantart had nice ideas too.

Clearly, Mayzie - the redish bird - is sassy and experienced. Whereas Gertrude is simple and young.

Seussical Original Costume Sketches

After looking at a bunch of image ideas online I sat down with paper amd sketched out my WHO ideas.  I kept these sketches in my costume book so I could show the kids the inspiration and colors for their costumes.

Boys with suspenders and vests, girls have collars and aprons. Headbands with pipe cleaner ideas and decorations for them all.

Sour Kangaroo was going to be a simple Elegant Pouch.
Similar to the Inspiration I posted here.


I sketched Mayzie in an elegant dress and Gertrude in a cute little girl dress. I didn't like all the skin exposure on most costumes I saw for Mayzie. It is still an elementary school performance.



Hortons and Baby Elephants ears needed to be measured for correct placement. I made adjustments right on each student.

Handmade Seussical Costumes - The Final Photos

One of my favorite parts was making the WHO costumes. First I sketched out the ideas, and then narrowed them to 4 color combinations: Yellow and Green, Purple and Orange.

There was NO WAY I would have been able to make all the suspenders, bow ties, neck ties, collars and aprons... It would have taken 12+ hours. So I used a trick from my event planning bag, KITS. I made kits with instructions and figure drawings, pre cut felt pieces for examples and excess fabrics and notions. With the schools permission I left a Seuss Pick Up Box in the Main Office or delivered kits to mom who signed up to help. We had over 30 volunteers to help assemble and decorate the kits!! Wow -- great support.

The Headbands
We made kits for WHO Suspenders, headbands made from pipecleaners, collars, aprons, neck and bow ties. Admittedly the shorts and skirts were some of the most crude sewing I have done. But their costumes, and as our High School costume queen said, it has to last and be durable for 2 days and look great!! My lesson learned, make costumes bigger and a few smaller pieces if you don't have a chance to measure the kids in advance!

That's me adjusting Horton's ears. Notice those striped arm covers? Yes, those are from Japan, since they use skin covers instead of sunscreen.



Mr. and Mrs. Mayor, upcycles from the Wizard of Oz costumes.


Mayzie - I wish I had a shot of her on stage LIVING THE COSTUME. When she first put it on she shook her tush, and waved her hips!! She really owned the costume.


The Bird Girls: These girls wanted their feather colors to culminate into Mayzie's tail colors.

Blogger Tips for Creating Pages and Tabs

Blogging is simple. It takes a little time and effort to learn some basic short cuts in order to achieve the look you want for your blog. Do you like what you see here. I spend the bulk of my time on clients, so getting my blog layout done I reference others who have tutorials on getting the layout completed.

I like blogs that create quick links at the top of their page. It makes navigating super easy for my blog visitors.

Creating a Contact Page 

Blogger allows you to create a contact me gadget as a sidebar on your blog. However in the mobile view mode this contact widget isn't accessible to blog readers. I was my blog accessible in the way that you the viewer uses it. I don't want my customer having to take extra steps to reach me.


Here is the tutorial I used to create a contact page, then made into a blog tab.





Blog on the Go

Use the blogger app to post blogs on the go. By nature consultants have their business on the brain all.the.time. So when there is a blog post or new innovative anything you can post on the go.
